Data Retention and Deletion Policy
At EasyContent, we prioritize your data's security, availability, and long-term integrity. This policy outlines how long we retain your data, under what circumstances it is deleted, and how you can take control of your data lifecycle.
While Your Account Is Active
Your account data is retained indefinitely while your subscription remains active. This includes:
- Content items
- Projects
- Users
- Templates
- Files
- Workflow and calendar data
- Roles and permissions
- Asset library content
- Comments, messages, and approvals
- Integrations and API keys
- Any additional data types needed to support future enhancements we may add
We maintain high durability through Amazon Web Services (AWS) and daily backups. However, to ensure performance and reduce unnecessary storage, the following are automatically cleaned up:
- Revision History: Only the 30 most recent versions of a content item are retained. Anything older than that will automatically be deleted.
- Please see the "Revision History for Trial, Cancelled or Inactive Accounts" section below for information about those accounts regarding revision history.
- Project Activity Logs: Automatically deleted after 1 year.
- Email Notifications: Deleted from our system 7 days after being successfully sent.
Free Trial Accounts
If you don't upgrade after your 14-day free trial, your data remains in our system for 1 year. After that period, the account and all associated data (content, users, projects, templates, files, etc.) are permanently deleted.
Cancelled or Inactive Subscriptions
If your subscription ends or is cancelled, we retain your data for 2 years after the last billing period.
After 2 years:
- Your account is permanently deleted.
- All associated content, user data, project data, templates, uploaded files, etc. are deleted.
Revision History for Trial, Cancelled or Inactive Accounts
In order to maintain system efficiency, after your free trial ends or after your subscription ends or you cancel your subscription:
- We'll only keep the latest version of each content item after 2 months.
- Older versions are deleted permanently at that point.
Manual Data Deletion
You can delete your account and all associated data at any time through Account Settings or by contacting our support team.
When manually deleted:
- All associated data (content, files, templates, users*, workflows, etc.) is permanently and irreversibly removed.
- *Users who are shared across accounts will retain their credentials but lose access to deleted accounts.
- If a user has their own owner account, data from their account will remain intact if they have an active subscription of their own, however, data from your account associated with their account will be deleted.
Backup Policy
- Our daily encrypted backups are stored securely via AWS infrastructure.
- Backups are used for disaster recovery and are never retained beyond necessary restoration windows.
- Data deleted due to retention policies or user request cannot be restored.
Security Measures
- Encryption at rest and in transit using AWS infrastructure.
- Password hashing to secure user credentials.
- PCI-compliant payment processing via Stripe. No credit card data is stored on our servers.
